You will work across a multi-disciplinary team in the business as well as at times working closely with the Ministry of Housing, Communities and Local Government (MHCLG) and the Home Office plus other regulators to make a positive impact in citizens lives.
You will cover a diverse range of activities to support the delivery of the programme's objectives by making the most effective use of his time and maximising the outputs and outcomes of the Programme.
Diary Management - actively managing the BSR Programme Director's appointments, sending meeting invites, chasing responses and accepting/declining invites as appropriate. Highlighting particular pressures and conflicts in the schedule.
Inbox Management - actively managing the BSR Programme Director's inbox - ensuring urgent items are identified and progressed as necessary providing verbal briefing as needed. Diarising and following-up information requested.
Travel and greeting - arranging and booking travel/accommodation as required. Making all appropriate arrangements for guests to the office, including collecting guests and setting up rooms for meetings as required.
Point of Contact - Dealing with enquiries and requests internally and externally in a professional and confident manner.
Team work - Forming an effective working relationship with the Programme teams as well as other key stakeholders such as Private Offices. At times you may be needed to booking meeting rooms, taking minutes of small meetings, production of correspondence, simple enquiries.
Document Management - for the BSR Programme Director.
Essential Skills and Experience:
We are seeking highly motivated and experienced Executive Assistant to join our multi-disciplinary Programme team. Successful candidates will be experienced in working with principals in complex and political environments. For instance by being:
*Well organised, flexible and able to adapt to a changing busy working environment due to the fast-paced Programme.
*Able to manage multiple tasks, often to tight timescales, while remaining calm under pressure with good time management.
*Confident with excellent communication skills (written and verbal), in a variety of situations and have excellent customer service, particularly experience in dealing with senior stakeholders.
*Enthusiastic, reliable and able to work as part of a team willing to cover other roles during periods of absence or shortage while being able to prioritise your own tasks.
*Able to deliver a high-quality and professional service/product in a fast-paced office environment - including proficiency in using Microsoft Outlook and Office.
*Able to think ahead and use your eye for detail, to anticipate problems and have excellent problem-solving skills so undertake tasks pro-actively using own initiative to make decisions as well as being a good at knowing when to escalate issues.
*Strong writing and proof-reading skills and attention to detail.
*Ability to work with autonomy and flexibility and to safeguard confidential information.
*Servicing meetings including taking concise and accurate minutes.
*Resourceful under pressure and ability to prioritise a demanding workload.
*Credibility, integrity and diplomacy.
*Excellent interpersonal skills and ability to build effective and resilient relationships at all levels and with key stakeholders while demonstrating tact and diplomacy.
